We receive numerous calls about
our facility and our services. Answers to these frequently asked questions
will help you understand why your business will profit by using Office
Archives:
What makes the services of Office Archives better than any other
records retention firm?
Office Archives is committed to helping our customers, not only to achieve
their goals, but to help exceed them. We are focused on service excellence.
When you call us, you will never speak to a machine; instead, our friendly
customer service representative will answer your call and direct you to
someone in our office who will help you with any questions you may have.
Why does a company need off-site storage?
Few companies can spare enough space to store all the records they
require -- and space costs money! Office Archives provides additional room
to store your records, along with peace of mind that your records are in a
confidential and secure, temperature-controlled environment.
How are my boxes identified in such a large warehouse?
Each carton is given a unique barcode that not only identifies the box,
but also tells us the exact location on the shelf so the box can be accessed
easily and quickly.
How are the boxes barcoded?
Office Archives furnishes a convenient 3-part label. You enter the
pertinent information on the carbonized data sheet; one remains
with you, and the other is sent to us for data processing. Detach
the barcoded label and place it on the box. Call us for a pick-up,
and we will take care of the rest.
Are all of my company's records stored in one confined area in your
warehouse?
No, your records are not stored in a confined area. This means that you
can store an unlimited number of cartons here without feeling that you
are running out of space. As your business expands, so does your shelf
space here at Office Archives.
Besides document storage, what other services does Office Archives
provide?
In addition to paper files, Office Archives stores x-rays and architectural
drawings. We offer you many other services, including
- Media boxes for x-rays,
architectural bags, standard 1.2 cubic foot boxes, legal boxes, media
transportation containers
- several different kinds of reports, including inventories transition
histories
- fulfillment services for the storage of your brochures and printed
materials
- the availability of certified document destruction
- indexing files inside boxes
- assistance in packing records for offsite storage
- storage
for vital records
- the availability of certified document destruction by our sister company Office Shredding
How secure is your facility?
A 24-hour central monitoring system and time lapse cameras cover
all entrances and exits to protect our office and warehouse. In
addition, a zoned sprinkler system covers our entire facility and
is tied into the alarm system.
Can anyone from my company request cartons?
For security purposes, we require all of our customers to sign a
"Designation of Customer Representatives" form that lists only those
persons you authorize to ask for your records. No one else will be allowed
access to your files. Office Archives guarantees confidentiality!
What methods may I use to request service?
Office Archives offers several methods to use for contacting us:
When I need a carton, what information do you need from me?
Placing an order for cartons is easy. You may reach us by phone,
fax, email, or the web. Just give us 2 numbers: your account number
and the barcode(s) of the box(es) you want us to deliver. Nothing
could be simpler!
After I order cartons to be delivered, how soon may I expect them to
arrive?
When you call our office before 4:00 p.m., your records will be
delivered the following day; however, if you have an immediate need for
records, we can deliver them within a two-hour period. In emergency
situations, we are on-call 24 hours a day, 7 days a week, 365 days a year.
If I only need one or two files, do I have to ask for the entire box?
Absolutely not! We offer a barcoding method for files, as well as
boxes. Give us the barcode of your box, and we will locate your file just
as easily as we can locate your cartons.
May I pick up a box from your office?
Of course. Save yourself a delivery charge. Our office
is conveniently located just off I95 near the New Castle County Airport.
May I come to your facility to look through my files, rather than to
have the boxes delivered to me?
Yes! We offer you a private viewing room, equipped with a telephone, computer
access, and the use of our fax and copier. Our staff, naturally, is always
available to help you in any way we can.
What is the process of destroying records?
When you determine that you want records destroyed, you must state in
writing the barcodes of all the cartons that are to be discarded. Before
any records are destroyed, we send you the list of barcodes and ask you
to check for accuracy and then sign. Only after that double-check, do
we arrange for the destruction of your cartons or files through our sister company, Office Shredding. Regardless of
the "destroy date" entered on your data entry sheet, we let you decide
when and how you want your records discarded.
